Insurance
All vendors on campus are required to carry insurance and have their insurance vetted by Allen ISD. Please send the following info to Sarah Anthony <sarah.anthony@allenisd.org> at least a few weeks before the event. If the vendor is not vetted, they will not be allowed on campus.
- Company Name, Contact Name
- A brief description of the service they will be providing
- Their email & website (if available)
- Their phone number
- Their street address (if available)
Membership
All board members must be a Boon PTA member to serve.
Background Checks
Allen ISD requires all volunteers to have been cleared to volunteer. Please go to Allen ISD's Volunteer Registration Page and click on Volunteer Application, to complete this.
Volunteers
Our volunteer coordinator can help you create a volunteer sign up form. It is still your responsibility to promote the volunteer sign up, monitor signups, and thank your volunteers.
Communications
There are many ways to promote your event. Depending on your target audience, you can choose one or more of the following. What works for one event, may not work for another.
FB Post
Send info to the Communications VP.
All VPs have access to post on our PTA FB page.
**NOTE TO ALL BOARD Members* please like, comment, and share the PTA FB posts. This impacts the algorithm and gets our post in front of more parents.
Website
The Web Master can help set up a page, form, or content on our front page.
Newsletter - Goes out every Thursday. Content is due to PatriotPost@boonpta.org by 10am on Wednesday.
Flyers - Printed and sent home in the Thursday folder. Flyer can be dropped off at the office or emailed to Sharon a week before distribution, for approval. You can make copies in the copy room and distribute to each teacher. Counts are posted on the copy room bulletin board. White paper is provided, you will have to furnish colored paper if needed.
Peachjar Flyers - Email your flyer to Becky Melcher.
Phone Blast - This is a phone message that is sent to all parent phone numbers at a scheduled time. Write a script and work with Sharon Brown in the office to get the message recorded. Have a 5th or 6th grade student help record.
Morning Announcements - Talk to the librarian to get on the agenda.
Teacher Newsletter - This can usually be sent to Sharon to be distributed to the teachers.
Room Parent / GLC - Put together the copy you want to distribute. Send it to the GLCs to distribute to the Room parents. https://boonpta.membershiptoolkit.com/roomparents

Risk Management with vendors
What to do when there is a campus event:
- Please notify Risk Management if you have vendors coming on campus so I can determine if we need to obtain a certificate of liability insurance from them. This applies to district and PTA sponsored events. The PTA Council has also been instructed to notify Risk Management for their planned events as well.
- Below is a list of the most common types of vendors we need insurance from, but this requirement is not limited to just these vendors.
- Most common types of vendors that will require insurance:
- DJs
- Serving food (including cottage bakers)
- Providing attractions (i.e., inflatables, game truck, dunk tank etc.)
- Using a generator or electrical outlets on district property
- If the campus event involves using the kitchen to prepare and/or serve food, you will need to notify Student Nutrition in addition to Risk Management because someone with food handling certification must be present for this type of event. The PTA Council has also been instructed to notify both Risk Management and Student Nutrition for their planned events as well.
